1. Overview
Welcome to Bikebook, operated by MyGroup Services Ltd (“Bikebook”, “we”, “us”, or “our”). Bikebook connects riders with local bike workshops and provides digital tools for workshop management through Workshop by Bikebook and Workshop Enterprise.
These Terms of Service (“Terms”) apply to:
- Individuals using Bikebook to find or contact workshops (“Customers” or “Riders”);
- Businesses listing their services on Bikebook (“Listed Businesses”); and
- Businesses using Workshop by Bikebook or Workshop Enterprise (“Workshop Users”).
1.1. Acceptance of Terms
By creating an account, registering as a business, subscribing to Workshop by Bikebook, or otherwise signing up to use any Bikebook service, you confirm that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you are using Bikebook on behalf of a company or organisation, you represent that you have authority to bind that entity to these Terms.
If you do not agree to these Terms, you must not create an account or use our services.
2. Changes to These Terms
We may update these Terms from time to time. Any updates will appear on this page with a revised version number and date. If we make material changes, we will notify users by email or in-app notice at least 14 days before the new Terms take effect. If you do not accept the updated Terms, you must stop using the services before the effective date of the changes. Continued use after the effective date constitutes acceptance of the new Terms.
3. Using Bikebook
3.1. Eligibility
You must be at least the age of majority in your country or region and have the legal capacity to enter into these Terms.
3.2. Conduct
You agree not to use Bikebook to:
- Upload or share unlawful, defamatory, abusive, or offensive content;
- Infringe any intellectual property rights;
- Transmit spam, malware, or unauthorised advertising;
- Misrepresent your identity or affiliation;
- Interfere with or disrupt the platform or networks; or
- Collect or misuse other users’ personal data.
Violation of these Terms may result in suspension or termination of your account.
4. Intellectual Property
All content, trademarks, software, and branding on Bikebook are owned or licensed by MyGroup Services Ltd. You may not reproduce, modify, or distribute any part of the Bikebook platform without our written permission.
Businesses retain ownership of their own content (logos, images, text, and information) but grant Bikebook a non-exclusive, royalty-free licence to display and promote that content for the purpose of operating and marketing the platform.
5. Third-Party Links and Tools
Bikebook may include links or integrations with third-party tools (e.g., Google Maps, Stripe, Clerk, Mailersend, or Twilio). We are not responsible for the content, products, or policies of those third parties. Please review their terms and privacy notices before use.
6. Data and Privacy
Your privacy is important to us. Bikebook collects and processes personal data in accordance with the UK GDPR, the Data Protection Act 2018, and applicable international laws.
For full details, please see our Privacy Policy. Businesses using Workshop by Bikebook are also subject to the Data Processing Addendum in Section 10.
7. Customers (Riders Using Bikebook)
7.1. Acceptance by Customers (Riders)
By making a booking, submitting an enquiry, or communicating with a workshop through the Bikebook platform (including any embedded booking tool on a third-party website), you confirm that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy.
If you do not agree to these Terms, you must not make a booking or use Bikebook to contact any business.
7.2. Use of the Platform
Bikebook provides an online directory and booking tool only. We do not manage or guarantee the services provided by workshops listed on our platform.
7.3. Bookings and Communications
Bookings or communications made through Bikebook are between you and the workshop. Bikebook is not a party to any agreement between you and a business and cannot guarantee the quality or outcome of any work performed.
7.4. Reviews and Feedback
You may leave honest, accurate, and non-defamatory reviews about workshops you have used. We may moderate or remove reviews that breach these Terms.
8. Listed Businesses (Free Directory Accounts)
Businesses may create free listings and must ensure that all details are accurate, up to date, and lawful to use. By submitting content, you grant Bikebook a licence to use and display it on our website, in marketing, and in partner integrations. We may edit, suspend, or remove listings that breach these Terms or contain misleading, illegal, or harmful material. You agree to use customer information obtained through Bikebook solely for legitimate business communication and in compliance with data protection laws.
9. Workshop by Bikebook (Paid Software Service)
Workshop by Bikebook is a subscription-based software service.
9.1. Subscriptions and Payments
Subscriptions may be billed monthly or annually through Stripe. Free trials may be offered at our discretion.
9.2. Refunds and Cancellation
Refunds are available in cases of:
- Technical service failure preventing access,
- Double billing or payment error, or
- Cancellation within the 14-day cooling-off period (for UK consumers).
Requests must be sent to [email protected] within 14 days of payment. Refund decisions are issued within 10 working days.
9.3. Termination by Bikebook
We may suspend or terminate access for misuse, breach, or non-payment. Except in cases of fraud or serious misuse, 7 days’ notice will be provided. Users may appeal within 14 days.
9.4. Website Integration and Booking Widgets
- Workshop Users may integrate Bikebook booking tools on their websites or social channels.
- Users are responsible for ensuring compliance with privacy and marketing laws.
- Bikebook grants a limited, revocable licence to embed the integration tools.
- Users may not modify, resell, or reverse-engineer the tools.
- Booking data is processed in accordance with Section 10.
- API Security and Availability: Bikebook uses industry-standard encryption and targets 99.9% uptime.
- Workshop Indemnity: Users agree to indemnify Bikebook for any claims or losses resulting from misuse or unlawful deployment of integration tools.
10. Data Processing Addendum (Workshop by Bikebook)
10.1. Roles and Scope
- Workshop User = Data Controller
- Bikebook = Data Processor
Processing includes customer, booking, and operational data for platform operation and improvement.
10.2. Processor Obligations
Bikebook shall:
- Process personal data only on documented instructions;
- Ensure confidentiality and security per UK GDPR Article 32;
- Assist with data subject rights, breach notifications, and DPIAs;
- Notify any personal data breach within 48 hours of discovery;
- Delete or return all data within 60 days of termination (unless legally required to retain); and
- Permit reasonable audits and provide compliance documentation.
10.3. Subprocessors
Bikebook engages certain third parties (“Subprocessors”) to assist in delivering services. Each Subprocessor processes personal data only as required and under written terms ensuring equivalent data protection.
Current Subprocessors:
- Google Cloud Platform (GCP) – cloud hosting and storage
- Stripe Payments Europe Ltd – payment processing and billing
- Clerk Inc. – authentication and user account management
- Datadog Inc. – performance monitoring and analytics
- MailerSend Ltd – transactional and service email delivery
- Twilio Inc. – SMS, voice, and communication services
Bikebook will notify users of material changes to subprocessors via email or in-app alert at least 30 days in advance. Workshop Users may object to a new Subprocessor by contacting [email protected].
10.4. Data Transfers
Transfers outside the UK/EEA use Standard Contractual Clauses or the UK Addendum to ensure lawful protection.

11. Disclaimers and Limitation of Liability
Bikebook provides its services “as is” and does not guarantee uninterrupted or error-free operation.
To the fullest extent permitted by law, Bikebook and its affiliates are not liable for:
- Loss of profit, revenue, goodwill, or data;
- Business interruption; or
- Indirect or consequential damages.
Nothing in these Terms excludes liability for:
- Death or personal injury caused by negligence;
- Fraud or fraudulent misrepresentation; or
- Any matter which cannot be lawfully excluded.
For business users, Bikebook’s total liability is limited to the fees paid in the 12 months preceding the claim. For consumer users, liability will be determined under applicable consumer law.
12. Consumer Rights
Nothing in these Terms limits your statutory consumer rights under UK law. UK consumers may cancel digital services within 14 days of purchase if the service has not been substantially used.
12.1. Australian Users
These Terms comply with Australian Consumer Law.
12.2. Canadian Users
These Terms comply with PIPEDA. By using Bikebook, you consent to data processing in accordance with our Privacy Policy.
13. Termination and Data Retention
Users may terminate their accounts at any time. Bikebook may terminate or suspend accounts for breach, misuse, or non-payment with 7 days’ notice (unless serious misconduct applies).
13.1. Data Retention and Portability
Upon termination, Bikebook retains data for up to 90 days to allow export requests. Users may request a copy of their data in a common format (CSV or JSON) by emailing [email protected]. After 90 days, data will be securely deleted unless legally required to retain it.
14. Governing Law
These Terms are governed by the laws of England and Wales. Disputes shall be resolved in the courts of England and Wales.
14.1. Users Outside the United Kingdom
For users in the United States, these Terms are governed by Delaware law. Disputes will be resolved in Delaware state or federal courts.
14.2. International Users
Nothing in these Terms overrides mandatory local laws applicable to you as a consumer or business user.
